Cancellations and refunds
All cancellation requests must be submitted in writing at symposium@ircwash.org. The cancellation date is the date the organisers receive your request.
Refunds (where applicable) are calculated on the ticket price paid, less:
• A non-refundable administration fee of €25 per ticket, and
• Non-refundable payment/processing fees charged by the registration/payment provider.
Refund schedule
•On or before 20 March 2026: 100% refund (less €25 admin fee + processing fees)
• 21 March – 19 May 2026: 80% refund (less €25 admin fee + processing fees)
• 20 May – 17 July 2026: 70% refund (less €25 admin fee + processing fees)
• From 18 July 2026 onwards: no refunds (including no-shows)
Ticket transfers (substitutions)
Ticket-only transfers are free of charge and must be requested in writing. Transfers are permitted up to 23:59 (Kigali time) on 10 August 2026 (5 working days before the Event Start Date). After this deadline, transfers are at the organisers’ discretion.
Hotels, flights and travel booked via the organisers
If the organisers have arranged accommodation, flights, or other travel services on your behalf (or you booked these through an organiser-managed process), any changes/cancellations/ transfers are by request only and supplier charges will be passed on at cost. Some bookings may be non-refundable.
No-shows / partial attendance
No refunds are provided for no-shows, late arrivals, early departures, or unused portions of a ticket.
